When an office worker schedules a meeting, everything should ideally run as smoothly as possible, and that also includes ordering meeting catering. With VisionCatering, this process is now easier than ever before. Directly from Outlook, the employee can quickly add food and drinks to the meeting without having to leave their calendar.
When the meeting is created in Outlook — or when you open an existing calendar meeting — in Outlook, a new icon appears in the meeting request, allowing the employee to choose exactly what to serve for the meeting. Here you can see an overview of available dishes, drinks and snacks, all based on the company's own kitchen and its offerings or the reception's delivery options. The order takes just a few clicks and is automatically forwarded to the kitchen screen so that the kitchen can prepare coffee, water and/or food on time in the selected meeting room or location.
There are no emails back and forth, no forgotten orders and no uncertainty about deadlines. Everything is handled directly in the system. Should there be changes to the meeting time, number of participants or the like, the order can be easily adjusted or canceled, so the company avoids waste and unnecessary costs.
For the office worker, VisionCatering means a much more streamlined process and workday, where meeting catering is no longer a laborious and time-consuming task, but a quick integral part of meeting booking. This ensures that meetings are always well prepared, guests get a professional experience and the kitchen or reception is best placed to deliver the food accurately and efficiently.
When the company is visited by external guests, it is important to ensure a professional and well-organized experience, and here catering plays a key role. With VisionCatering, the receptionist or responsible employee can easily order food and drinks directly through Outlook, while scheduling the meeting.
By clicking on the VisionCatering icon in the meeting request, the employee can choose from the company's internal menu, including lunch dishes, coffee, tea, snacks and special bookings for VIP meetings. If there are special needs, such as vegetarian or hypoallergenic alternatives, these can be added directly into the system. The order is automatically sent to the kitchen, which gets a clear overview of the day's deliveries.
On the day of the meeting, everything is delivered exactly at the agreed time, so that guests have a professional and well-coordinated experience. The receptionist or the meeting organiser does not need to follow up via email or phone call, as all communication between the customer and the kitchen takes place through the system. Should there be changes in the meeting time or the number of participants, the order will be adjusted, which minimizes food waste and ensures a flexible service.

What are the benefits of VisionCatering?

Booking meeting catering is made in Outlook when the meeting is booked in the calendar, and those who have to deliver coffee, water, etc. can view all of the day's deliveries in one screen.

How to install VisionCatering?
VisionCatering is a standard Office 365 app that is fully integrated with your existing Outlook, making installation and deployment quick and easy. The IT department or the company's Office administrator installs VisionCatering once via Microsoft App Source, and all (selected) employees automatically get access to book meeting catering directly in Outlook.
With an easy installation, no complex setup, no third-party applications, and full integration into your Office 365 environment, it means less administration and a streamlined process for the deployment and operation of VisionCatering in your organization.
1. Download VisionCatering from Microsoft App Source
Your IT administrator adds VisionCatering to your company's Microsoft Office 365 environment via Microsoft App Source Business Apps — Microsoft AppSource and sign up for the VisionCatering solution (free) at this link: https://catering.visionpeople.dk
2. Set up your master data
After that, the administrator can configure settings, such as which locations, meeting rooms, and catering options should be available in each meeting room.
3. User access
In the Office 365 environment, choose which (or all) employees to test VisionCatering. The app then automatically becomes available to these employees when they set up a meeting in Outlook, so they can start booking meals without any additional setup. The meeting catering orders will be displayed on https://catering.visionpeople.dk as meeting catering is ordered from Outlook.
Is VisionCatering safe to use?
VisionCatering has been developed with a focus on security and complies with all Microsoft standards for enterprise applications. Because the solution is directly integrated into Microsoft 365, it follows the same security protocols that you already use in your organization, and the website with an overview of today's orders can be processed on your own web server.
Data is securely handled and encrypted both during transfer and storage to protect sensitive information. We do not store any necessary user data and all orders are processed directly in your internal system without being shared with external third parties. The company has full control over who has access to VisionCatering in your own system, and the IT administrator can easily manage the rights of the app through the Microsoft admin panel. In addition, single sign-on (SSO) through Microsoft ensures that users do not have to log in with separate accounts, reducing the risk of security breaches. VisionCatering is continuously updated and maintained in accordance with applicable GDPR requirements and other data protection laws, so you can always be sure that your data is handled securely and in accordance with the law.

Who can use it?
All employees in a business can use VisionCatering as soon as the app is opt-in from Office 365. All it takes is that the company's Office Administrator has enabled the app through Microsoft AppSource.
Because VisionCaterer is integrated into Outlook, you can order catering without creating a user or similar. Since the user is already in the company's Office tenant, there is no need to create a separate account or log in to an external system. And when Outlook updates to new versions - then the app is automatically compatible with the new version.
What is VisionCatering?
VisionCatering is an Office 365 app integrated directly into Microsoft Outlook and makes it easy to book meeting catering while you book a meeting in your Outlook calendar.
It works so easily that when you create a meeting in Outlook, you can select and order catering from your company's kitchen/canteen with a single click on the VisionCatering icon. The order is automatically sent to those responsible and displayed on a screen - and then they take care of the delivery.
At the same time, VisionCatering allows employees to switch on and off the lunch schedule on specific days, so that the kitchen always knows how many people to deliver lunch to.
How much does VisionCatering cost?
The subscription depends on your company's number of Office users. The price is 10 DKK per day. Office user for the first 100 users, then 8 DKK per user. Office user after the first 100 users. If the company is over 500 Office users, we lower the price per day. Office user for 6 kr.
If there are only up to 3 employees in the company, VisionCatering is free!
Example:
100 Office users = 1.000 kr. /month (100 users * 10 kr.)
200 Office users = 1.800 kr. /month (100 users * 10 kr. + 100 users * 8kr.)
All prices are deducted 5% discount when choosing an annual prepaid subscription (and only after the 30-day free trial period).
